Privacy Policy

This page explains how Colonos Media Group (“we”) collects, uses, and protects personal data when you use NEO at neo.colonosmedia.com.

1. Data Controller

Colonos Media Group, Greece. Contact: privacy@colonosmedia.com.

2. What we collect

• Account data: email, name, company (provided at signup).
• Usage data: prompts, model responses, sector selections, optimization runs — used to operate the service and improve quality.
• Billing data: processed by our payment provider (Viva Payments). We do not store full card numbers.
• Technical data: IP address, user-agent, timestamps — for security and rate-limiting.

3. How we use it

• Provide and operate NEO (contract — Art. 6(1)(b) GDPR).
• Bill subscriptions and prevent fraud (legitimate interest — Art. 6(1)(f)).
• Comply with legal/tax obligations (Art. 6(1)(c)).

4. Sharing

We share data only with: Viva Payments (billing), our hosting provider (DigitalOcean, EU region), and IBM Quantum (when you opt in to run quantum jobs). No advertising trackers, no data sale.

5. Retention

Account & usage logs are retained for the active subscription period plus 12 months. Billing records: 10 years (Greek tax law).

6. Your rights (GDPR)

Access, rectification, erasure, portability, restriction, and objection. Email privacy@colonosmedia.com. You may lodge a complaint with the Hellenic Data Protection Authority (dpa.gr).

7. Cookies

NEO uses only strictly necessary cookies for authentication and session continuity. No advertising or analytics cookies.

8. Security

Encrypted transport (TLS 1.2+), encrypted at-rest credentials, principle-of-least-privilege access. Incidents are reported within 72 hours per Art. 33 GDPR.

9. Changes

Material changes are notified by email at least 14 days before taking effect.
